Music Festival & Outdoor Events

The clocks have gone forward and summer is on the way. Now is the time that organisers for music festivals & outdoor events are starting to plan events throughout the summer.

Where do you start when there is so much to do to put on an event? It can seem a daunting task but with the right people, the right preparation and planning you can put on a successful event.

Once you have identified where you are going to hold your music festival or outdoor event, there is a long list of things to consider:-

  • How to promote the event?
  • Budgeting
  • How many people are going to come?
  • Do you need a Public Entertainment Licence?
  • Do I need a PRS Music Licence?
  • Catering Provision
  • First Aid & Stewarding/Security Arrangements.
  • Toilet Provision
  • Car parking arrangements
  • Public Liability Insurance
  • Risk assessments
  • Additional Entertainment
  • Making the event accessible
  • Additional Stalls i.e arts and crafts

The list seems endless but is all achievable and as each event is different the requirements to comply with will also be different. For example putting on a music festival is very different from arranging a school summer fayre, although some of the planning elements are the same.

The most important part of your event is the focal point for the entertainment, being a stage or an arena.

At a music festival, the stage, the sound and the lighting production are essential to get right. The bands want to be able to perform perfectly so your audience will have a brilliant time.

Getting the right experienced event production company onboard to work together with you and support you is vital. At Just Smile, we have an experienced team of technicians/electricians and riggers that have worked on these types of music festivals & outdoor events over many years.

As can be seen from the gallery of photographs below, Just Smile has worked on many event productions, providing Stage Hire, PA & Sound systems and full lighting production. We will work closely with you to make sure that your music festival or outdoor event is delivered on budget. Our technicians will also discuss with you power requirements for the event ( i.e on-site power/generated power). We will of course supply risk assessments and Public liability Insurance to you which will be another item ticked off your planning checklist.

The only thing we can’t control is the weather! A pleasantly warm day is perfect. However, as organisers make sure you have your festival wellies and rain ponchos at the ready just in case!

This has only scratched the surface of what it takes to on an event. Hopefully, it inspires you as an organiser to create a great music festival or outdoor event.

Event Production | The Function Band | Carlton Tower, London

We were asked to provide event production for Brandon’s Barmitvah being held at the beautiful Jumeirah Carlton Tower with The Function Band performing. Working with The Event Geekz on this fabulous event, together we designed a custom black triangular Acrylic stage, finished to perfection, with CO2 jets either side. A Truss framed backdrop with black drape and white rope set off with UV LED Strips to create a stunning backdrop to the stage, which was home to our LED Screen DJ Booth.

We also provided a 24ft x 24ft Black Gloss Acrylic Dance Floor, Lighting, with moving beams & moving washes on Black Acrylic Plinths and mounted to the backdrop truss. Haze machines created a fine mist throughout the room which showed off the lighting for this stunning event.

The LED Screen DJ Booth provided a centerpiece for the stage which included shapes & effects whilst the performances from The Function Band took place, and then through the dining & early evening the screen displayed a logo designed especially for the event and family photographs.

Jumeirah Carlton Tower

The Jumeirah Carlton Tower was a stunning venue for a Simcha, and the venue has their function suites on the first floor. The venue is located in the Knightsbridge area of London and is only 23 miles from our Warehouse in Watford, Hertfordshire.

The venue is well designed with elegant panelled walls, luxrious carpets & rugs throughout the venue and stunning communal spaces, bars / restaurant which can host private dining and drinks. The Jumeirah Carlton Tower is well appointed and ideal for events, with a hospitable team at the heart of the venue.

Wedding Lighting & Production at Hilton Syon Park with Muzika

We provided Wedding Lighting and Production, including Stage for both the band Muzika & the Chuppah, full lighting for the ceremony & reception, Backdrops, including a full height custom pinch pleat backdrop behind the band on the stage.

We were contracted by our clients direct, Jon & Debbie, who had a very clear brief, meticulous planning and organisation beforehand allowed our team the time & creativity to deliver an outstanding production in the stunning Grand Syon Ballroom at the London Hilton Syon Park.

We were asked to provide Production for a Wedding to be held at the beautiful Sopwell House Hotel. Our client had booked Creation Showband, and had decided to come to us for all of their Production requirements.

We provided Outdoor Chuppah Stage, 2 tier band stage, Starlight White Dance Floor, Backdrops & Lighting.

Sopwell House Hotel

Sopwell House Hotel is located in St Albans Hertfordshire and it’s ideal for all sorts of events. In it’s dedicated events centre, there are a selection of function rooms of different shapes & sizes. Parking is easy & the location is stunning.

Our event was held in the Alban Suite. And with Sopwell House being located so close to our base in Watford, this was nice and local too.

Event & Lighting Production for Wedding in Hatfield

Far be it for us to blow our own trumpet about our Wedding Lighting & Production, but occasionally plans come together easily and you end up creating a wonderful event, which wows guests, and even puts a smile on our own faces… and when it’s the Wedding of the bosses sister, I guess it makes it even more special for our team!

We worked alongside a selection of the finest suppliers and this wonderful venue to create the Wedding that Marianne & Richard had been looking forward to, although the brief was fairly relaxed, team smile decided to pull out just a few of the bells and whistles to create a little bit of wow-factor (or at least we hope we did).

We provided full Wedding Lighting & Production, which included lighting show including 16 moving fixtures, stage lighting and full room controlled wireless uplighting. We built and hung a truss frame, winched it up on the beams in this 16th century barn, which was home to our lighting infrastructure. But it also meant that main source of the production was above head height and out of sight for the most part of the day to the 180 guests.

Just Smile are the recommended supplier at Essendon Country Club and we work with the venue throughout the year on many weddings & events.

The venue is a stunning 16th Century Barn conversion at what used to be known as Hatfield London Country Club. The new and current owners have invested heavily refurbishing the barn to utilise it for functions and events, and it creates a stunning backdrop for weddings & celebrations, along with fabulous grounds and the service from the venue, is always second to none!
