European Conference AV Production in Madrid
In September 2026, the Just Smile team travelled to Madrid to deliver professional audio visual production for an international financial company’s conference.
Held at the Madrid Marriott Auditorium Hotel & Conference Center, the event required a complete technical production setup across the main plenary and six breakout rooms. Our team spent almost a week in Madrid installing, operating and supporting the AV equipment throughout the conference.
Main Plenary AV Production
The main plenary was a large conference space, so every part of the production needed to deliver a consistent experience throughout the room.
At the centre of the setup was an impressive 14m x 3m carpeted and boxed stage, backed by an LED screen of the same size. The large-format screen created a strong visual focal point and gave presentations, branded content and video a crisp, professional finish.
We also supplied two presenter comfort monitor packages, allowing speakers to view their presentation content clearly while facing the audience. This helped each session and speaker transition run smoothly on stage.
A 4K video switcher rack was used to manage the conference’s visual content and distribute the live feed across the room. As the plenary space was particularly large, we installed six 75-inch LED repeater screens so guests seated towards the back could still see every presentation clearly.
Sound and Lighting for the Main Room
Clear and evenly distributed sound was essential within such a large conference space. The main plenary audio system included a combination of D&B T10, E3 and B4 loudspeakers, selected and positioned to provide suitable coverage throughout the room.
The stage was complemented by professional front lighting, ensuring that every speaker was clearly visible both to the audience and on screen. Uplighters were also installed around the room to enhance the overall appearance of the space and create a polished corporate environment.
Together, the staging, LED screen, audio system, video distribution and lighting transformed the main plenary into a professional conference setting suitable for an international audience.
AV Across Six Breakout Rooms
Alongside the main plenary, Just Smile provided audio visual production for six breakout rooms.
Each space followed a consistent technical format, with equipment adapted to suit the individual room and its requirements. The breakout room setups included:
- Allen & Heath SQ5 or Yamaha DM3 digital mixing consoles
- RCF 910-A 10-inch active speakers or NEXO PS8 8-inch speakers
- Shure SM58 microphones
- Three dual-channel radio microphone receivers
- Presentation and supporting AV equipment
Using interchangeable equipment allowed us to create the right system for the size and layout of each breakout room while maintaining a consistent standard across the entire conference.
Delivering Conference Production in Europe
Producing an event across seven different spaces requires careful technical preparation, reliable equipment and an experienced crew on site. From the large-format LED screen and sound system in the main plenary to the individual breakout room installations, every element had to work together throughout the event.
After almost a week in Madrid, we were delighted to complete another successful European conference production for a happy client, even if the team came home ready for a well-earned rest!
